Contract to Close
Buyers • Sellers • New Homes
Executed Contract:
- Review executed contract, addendum & seller’s disclosure for accuracy & completion by all parties. Note contingencies, exclusions, effective date, and deadlines, option, and earnest receipt
- If seller side – update ABOR MLS with “P,” “AU,” or “AO” status
- Send an email introduction to the agents buyer / seller & all third parties involved in the transaction
- Add the important contract dates from the intro email to the agent’s calendar
- Draft & facilitate any amendments (agent to negotiate)
- Email amendments to all appropriate parties, including title company and lender
- If terminated: facilitate termination and release of earnest money paperwork
- Create and enter transactions and supporting information into Agents brokerage platform (if applicable)
- Document management via google drive and or Agents preferred platform
- Secure all compliance items for file approval as needed
After Option Period
- Draft & facilitate amendments to extend option period or closing date or other modifications to the contract during the duration of the transaction
- Track important deadlines of the contract such as, appraisal title commitment, financing deadlines, surveys, HOA docs etc
Approaching the close date
- Coordinate the home warranty with title to order
- Send utility reminders to buyers / sellers
- Track final details of the contract important dates for the loan approval, survey, appraisal received etc
- Schedule closing & notify all parties
- Schedule Sign pick up with brokerages preferred vender ( SignOtter etc when representing the seller)
- Coordinate & confirm all necessary parties have copies of repair receipts
- Be sure DA has been sent to title company
- Coordinate with the agent and title company to send the master settlement statement to the client with their estimate funds to close (The agent should review for accuracy and approve)
- Send a closing confirmation email to buyer/sellers with a cc to the agent with time, date, address, and important closing reminders
- Coordinate and communicate the final walk through
- Confirm funding with the title company
- If seller – update MLS to “S”
- Close out Transactions in your brokerage platform (if applicable)
Listing Coordination
For Sale • For Lease
Make Ready:
- Schedule, coordinate, & arrange access for tasks such as Sellers Home Warranty, Energy Audit, Home Staging, Pre-Inspection
- Schedule with agents preferred vendors for Sign Installation & Photographers
- Set up Showing Service, feedback services (if applicable)
- Send an email introduction to the agents seller & notifying them of photo date/time and how to prepare
- Request current survey and notarized T-47
Compliance
- Review completed Listing Agreement & All Required Disclosures for completion and accuracy
- Create and enter transactions and supporting information into Agents brokerage platform (if applicable)
- Document management via google drive and or Agents preferred platform
- Secure all compliance items for file approval as needed & Submit compliance file to agents office (if applicable)
- Prepare any amendments for price or listing changes
- Resubmit corrections needed for approval
Listing Activation
- Enter Listing in MLS with Virtual Tour Links (links to Company’s website)
- Upload pictures and write descriptive captions for each picture
- Upload any provided attachments
- Link to Supra Website
Marketing
- (if applicable) Schedule home on the first available area tour when specified
- Set up preferred showing service such as Pro Agent Solutions or ShowingTime for Automated Feedback
- Email Marketing update to client to inform them of marketing efforts once the property is Active
- Post initial Open House Dates & Times in MLS
Compliance, Backup Contracts,
And Leased Properties
- Review existing documents for completion and accuracy
- Email agent a transaction email with a list of any corrections or missing compliance items
- If the TC has access to your platform – Invoices sent to the landlord / listing agent for leased properties
- Create and enter transactions and supporting information into Agents brokerage platform (if applicable)
- Document management via google drive and or Agents preferred platform
- Secure all compliance items for file approval as needed

- Post Additional Open Houses
- Schedule Additional Area Property Tour
- Sign Installation from preferred vendor (SignOtter etc) (Applicable if you are not doing Full Listing Coordination)
